Governance and accountability

Trust is not requested — it is organised

A community event mobilises resources that, in a sense, belong to an entire community. That is why we have made accountability an operating principle: every commitment is written down, monitored and justified.

Commitment
Our three pillars

A simple, clear and verifiable framework

Funders and companies know it well: the main risk in a community project is not intent, it is execution. Our governance addresses precisely that risk.

Formal agreement

Each partnership is governed by a written agreement specifying the purpose of the support, amounts or contributions, benefits, timeline and reporting arrangements.

Joint monitoring committee

A committee of festival and partner representatives oversees delivery, approves key milestones and decides on any adjustments.

Documented supporting evidence

Invoices, receipts, attendance lists and photos are archived and made available to the partners concerned.

Accountability cycle

From first commitment to final report

Every partnership follows a six-step cycle, designed so that no commitment is left without a record or a report.

Scoping

Shared definition of objectives, scope of support and expected indicators.

Signing the agreement

Written formalisation of mutual commitments and oversight arrangements.

Setting up the joint committee

Appointment of members, meeting schedule and approval procedures.

Traceable delivery

Every expense and action is backed by supporting evidence.

Measurement

Collection of participation data and results per activity, based on registrations.

Review and reporting

Report delivered to partners and public summary of key indicators.
